Terms of Service, Cancellation & Privacy Policy

1. Scope of Services — No Medical Advice
Alma Fit & Mind provides online fitness, nutrition, and mindset coaching for educational and motivational purposes only. Nothing provided through our coaching — including workout programs, nutrition plans, 1:1 sessions, or any written or verbal guidance — constitutes medical advice, diagnosis, or treatment of any kind.
Alma is not a physician, physical therapist, registered dietitian, or licensed mental health provider. Coaching is not a substitute for licensed medical care, physical therapy, dietetic treatment, or mental health treatment. You should always consult a qualified physician before beginning any exercise or nutrition program — especially if you are pregnant, have a pre-existing medical condition, are recovering from an injury or surgery, or have any concern about your ability to safely participate.
If your needs fall outside the scope of coaching — including but not limited to clinical anxiety or depression, disordered eating, an injury requiring medical clearance, or a condition requiring medical nutrition therapy — you will be referred to an appropriate licensed professional rather than coached through it.
2. Assumption of Risk & Limitation of Liability
Exercise and physical training carry inherent risks, including but not limited to muscle strain, sprain, joint injury, cardiovascular events, and — in rare cases — serious injury. By participating in any Alma Fit & Mind program, you voluntarily assume all risks associated with physical exercise, and you confirm that you are physically able to participate or have obtained medical clearance to do so.
Alma Fit & Mind does not provide injury diagnosis, treatment, or rehabilitation services. If you are currently injured, recovering from an injury, or have a condition that may be affected by exercise, you are responsible for consulting a licensed physician or physical therapist before beginning or continuing any program, and for following their guidance — including stopping a program if advised to do so.
To the fullest extent permitted by law, Alma Fit & Mind, its founder, and any affiliated coaches or contractors are not liable for any injury, aggravation of an existing injury or condition, or other harm arising from or related to your participation in our coaching programs, or from your failure to obtain appropriate medical clearance before participating.
Before beginning any program, clients complete an intake assessment and must sign a separate Informed Consent and Liability Waiver acknowledging these risks in writing. Purchasing a coaching package does not replace or waive this requirement — coaching will not begin until a signed waiver is on file.
3. Cancellation & Refund Policy
Monthly coaching subscriptions (Foundations, Transformation, Elite Mind & Body)
These are month-to-month subscriptions. You may cancel at any time; we ask for 14 days' notice where possible so we can wrap up your current coaching cycle. Cancelling stops future billing, but amounts already paid for the current billing period are not refunded, since coaching and programming for that period have been made available to you.
One-time programs (12-Week Total Transformation, Deep-Dive Session)
One-time purchases are non-refundable once your program or session has been delivered. If a genuine hardship prevents you from completing a purchased program, please contact us — transfers to a future cohort or session are considered on a case-by-case basis.
Disputes
If you believe you were charged in error, contact us first at hello@almafitandmind.com or call (804) 566-0040 so we can resolve it directly — this is almost always faster than a card dispute.
4. Payments
Payments are processed securely by Stripe. We do not store your card information. Subscription payments renew automatically each billing period until cancelled.
5. No Guarantee of Results
Fitness, nutrition, and mindset outcomes vary by individual and depend on factors outside our control, including your effort, consistency, and starting health status. We do not guarantee specific results.
6. Privacy
We collect the information you provide directly — such as your name, email, and any details you share through our contact form, booking scheduler, or intake process — to deliver and improve our coaching services. We do not sell your personal information.
Our site uses a small number of third-party services to operate: Stripe (payments), Calendly (scheduling), and Resend (email delivery). Each of these providers processes limited data — like your name, email, or payment details — solely to complete the function you're using (checkout, booking, or contact). We don't share your information with anyone beyond what's needed to provide the service you requested.
